Rize Camp Inc. ("Rize Camp," "we," "us," or "our") is a children's day camp located in Calgary, Alberta, Canada. We operate camp programs for children ages 8–12 and are committed to protecting the personal information of campers, their parents and guardians, and all individuals who interact with our organization and website.

This Privacy Policy explains how Rize Camp Inc. collects, uses, discloses, and safeguards personal information in accordance with Alberta's Personal Information Protection Act, RSA 2003, c P-6.5 ("PIPA"). As an organization operating solely within Alberta, Rize Camp is governed by PIPA rather than the federal Personal Information Protection and Electronic Documents Act (PIPEDA). Where applicable, we also comply with Canada's Anti-Spam Legislation ("CASL") with respect to commercial electronic messages.

2. Scope of This Policy

This Privacy Policy applies to:

  • All personal information collected through our website at rizecamp.com and any associated subdomains or landing pages;

  • All personal information collected during the camp enrollment and registration process, whether completed online or in paper form;

  • All personal information collected or created in connection with camp operations, programming, and activities;

  • Communications you send to us by email, phone, or any other channel.

This Policy applies to Rize Camp Inc. as the organization responsible for determining the purposes and means of processing your personal information (the "data controller" in practical terms under PIPA). It does not govern the practices of third-party websites linked from our website, or third-party service providers except as described herein.

Note for Quebec Residents: If you are a resident of Quebec, Quebec's Act respecting the protection of personal information in the private sector (Law 25 / Bill 64) may provide you with additional rights, including rights regarding automated decision-making, data portability, and privacy impact assessments. While Rize Camp is an Alberta-based organization, we will make reasonable efforts to accommodate requests from Quebec residents consistent with those additional protections.

3. Information We Collect

We collect only the personal information that is reasonably necessary to operate our camp programs safely and effectively. The categories of information we collect include:

3.1 Camper Registration Information

When a child is enrolled in a Rize Camp program, we collect personal information about the child, including:

  • Full name, date of birth, age, and grade

  • Medical conditions, diagnoses, and relevant health history

  • Allergies (food, environmental, and medication)

  • Current medications, dosages, and administration instructions

  • Immunization status (where required for health and safety purposes)

  • Any physical, cognitive, or behavioural considerations relevant to camp participation

3.2 Parent and Guardian Information

We collect personal information from the parent(s) or guardian(s) completing enrollment, including:

  • Full name, home address, phone number(s), and email address

  • Emergency contact names, relationships, and phone numbers (including alternate pickup-authorized individuals)

  • Relationship to the child (e.g., parent, legal guardian)

  • Custodial or access arrangements relevant to drop-off and pickup (if disclosed to us)

3.3 Payment Information

Camp fees are processed through our website platform (operated by Wix) and third-party payment processors. We do not directly collect, store, or process credit card numbers, banking details, or other financial credentials. Payment data is handled exclusively by our payment processor(s), which maintain their own security and privacy standards. We retain records of transaction amounts, dates, and confirmation numbers for accounting purposes.

3.4 Photography and Video

Camp activities are documented through photographs and video recordings for operational, safety, and promotional purposes. Photos and videos may include identifiable images of campers. We obtain written parental or guardian consent before capturing or using any image or video of a camper. Parents and guardians may opt out of photography and video consent at or after enrollment (see Section 6 for details).

3.5 Website Usage Data

When you visit rizecamp.com, we may automatically collect technical and usage data through cookies and similar technologies, including your IP address, browser type, pages visited, time spent on pages, and referring URLs. 3.6 Communications

When you contact us by email, phone, or through our website's contact form, we collect the content of your communication and the personal information you provide, including your name and contact details. We retain records of communications for administrative and legal purposes.

4. Legal Basis and Consent

4.1 Basis for Collection Under PIPA

Under PIPA, we collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances. Our legal bases for processing personal information are:

  • Consent: We rely on the express or implied consent of the individual (or their parent/guardian) for most data collection activities. Consent is obtained at the time of enrollment through our registration forms and is explained in plain language.

  • Contractual Necessity: Some personal information is collected because it is necessary to fulfill the services described in our enrollment agreement — for example, medical and allergy information required for a child's safety at camp.

  • Legal Obligation: In some cases, we are required to collect, retain, or disclose information to comply with applicable laws, including health and safety regulations and mandatory reporting obligations.

4.2 Meaningful Consent

We are committed to obtaining meaningful consent. This means:

  • We explain clearly what information is being collected and why before or at the time of collection;

  • We use plain, understandable language in our consent forms;

  • Consent is not bundled with terms in a way that makes it difficult to understand;

  • Providing personal information in response to a specific request constitutes implied consent for that purpose.

4.3 Children Under 13 — Parental Consent Required

Rize Camp serves children ages 8–12. We do not rely on consent from children themselves for the collection of personal information. All personal information about children enrolled in our programs is collected from, and with the consent of, their parent or legal guardian. By completing our enrollment form, the parent or guardian consents to the collection, use, and disclosure of their child's personal information as described in this Policy.

4.4 Children Ages 13–17 — Adapted Consent

For any participant aged 13 to 17 (for example, in future expanded programming), we will seek assent from the young person themselves, alongside parental or guardian consent, in recognition of their developing capacity to understand and participate in decisions about their own information.

4.5 How to Provide and Withdraw Consent

Consent is provided by completing our enrollment and registration forms. Where separate consent is required (for example, for marketing communications or photography), that consent will be sought separately.

You may withdraw consent at any time by contacting us at info@rizecamp.com. Please note that withdrawing consent may affect our ability to provide certain services — for example, if medical information is withdrawn, we may be unable to ensure a child's safe participation in camp activities. Withdrawal of consent does not affect the lawfulness of any collection, use, or disclosure that occurred prior to the withdrawal.

5. How We Use Your Information

We use personal information for the following purposes:

5.1 Camp Operations and Administration

We use registration information to organize camp programs, assign campers to appropriate groups and activities, communicate session schedules and changes, and administer all aspects of camp enrollment.

5.2 Safety and Emergency Response

Medical, allergy, and medication information is used to protect the health and safety of campers during camp programs. This information is shared with camp staff responsible for supervising campers and, in an emergency, may be shared with emergency medical services or other first responders.

5.3 Communication with Parents and Guardians

We use contact information to communicate with parents and guardians about their child's enrollment, programming updates, pickup procedures, incidents or concerns, and other matters related to camp participation.

5.4 Marketing and Promotional Communications

With separate, express consent provided in accordance with CASL, we may send promotional emails about upcoming camps, special programs, and Rize Camp news. This consent is obtained at enrollment and is entirely optional — declining marketing consent does not affect enrollment. See Section 13 for details on how to unsubscribe.

5.5 Legal Compliance and Risk Management

We may use personal information to comply with applicable laws and regulations, to respond to legal requests or court orders, to document incidents, and to defend against or pursue legal claims.

5.6 Improvement of Programs

We may use aggregate, non-identifiable data to evaluate and improve our camp programs, staffing, and operations. This information does not identify individuals.

6. Children's Privacy (Special Section)

The privacy of children in our care is a matter of the highest importance to us. This section provides additional detail about how we handle information about minors.

6.1 All Information Collected Through Parents and Guardians

Rize Camp serves children ages 8–12. We do not collect personal information directly from children through our website, email, or any online form. All enrollment, health, and contact information is collected from the child's parent or legal guardian.

6.2 No Online Tracking of Children

Our website is not directed at children. We do not knowingly use cookies or tracking technologies to collect personal information from minors.

6.3 Data Minimization

We collect only the personal information about enrolled children that is reasonably necessary for safe and effective camp programming. We do not collect information about a child's socioeconomic background, academic performance, or other information unrelated to camp operations.

6.4 Parental Rights

Parents and guardians have the right to:

  • Access all personal information held about their child, upon written request;

  • Correct any inaccurate or incomplete information about their child;

  • Request deletion of their child's personal information, subject to our legal retention obligations (see Section 8);

  • Opt out of certain uses of their child's information, such as marketing.

6.5 Photography and Video Consent

At the time of enrollment, we ask parents and guardians to sign a written consent form authorizing Rize Camp to photograph and/or video record their child during camp activities. This consent covers use in promotional materials, social media, and camp documentation.

  • Consent is voluntary — declining photo/video consent will not affect a child's enrollment or participation in any camp activity.

  • Parents and guardians may withdraw photo/video consent at any time by notifying us in writing at info@rizecamp.com. Upon withdrawal, we will cease capturing new images of the child and will make reasonable efforts to remove existing images from active promotional use.

  • Written photo/video consent records are retained for a minimum of three (3) years after the child reaches the age of majority (18 years old) in Alberta, consistent with Alberta's Limitations Act and Alberta Camping Association (ACA) standards.

7. Disclosure of Personal Information

7.1 We Do Not Sell Personal Information

Rize Camp does not sell, rent, trade, or otherwise provide personal information about campers, parents, or guardians to third parties for commercial purposes.

7.2 Disclosure to Camp Staff and Contractors

Personal information (including health and safety information) is shared with Rize Camp staff, volunteers, and authorized contractors on a need-to-know basis, strictly for the purpose of providing safe and effective programming. All staff with access to personal information are trained on their confidentiality obligations.

7.3 Disclosure in Emergencies

In the event of a medical emergency or serious safety incident, we may disclose a child's personal information (including medical and emergency contact information) to emergency medical services, hospitals, or other first responders without prior parental consent, where disclosure is necessary to protect the health or safety of the child or others. We will notify the parent or guardian as soon as practicable.

7.4 Wix Platform

Our website and online enrollment are hosted and operated through Wix (wix.com), a third-party website and booking platform. Wix collects and processes information submitted through our website in its capacity as a service provider. Wix maintains its own privacy and security practices; we encourage you to review the Wix Privacy Policy for details.

7.5 Payment Processors

Payment transactions are processed by a third-party payment processor integrated with our Wix platform. We do not receive or store your complete payment card details. The payment processor is solely responsible for the security of financial data and operates under its own privacy policy and Payment Card Industry (PCI-DSS) compliance obligations.

7.6 Legal and Regulatory Disclosure

We may disclose personal information where required by law, court order, subpoena, or lawful request from a government authority or law enforcement agency. We will only disclose the minimum information necessary to satisfy the legal requirement and will notify affected individuals where we are legally permitted to do so.

7.7 Business Transfers

In the event of a merger, acquisition, sale of assets, or restructuring of Rize Camp Inc., personal information held by us may be transferred to the successor organization, subject to equivalent privacy protections.

7.8 Cross-Border Data Transfers

Wix operates servers located outside of Canada, including in the United States and other jurisdictions. By using our website and enrolling in our programs, you acknowledge that your personal information may be transferred to, stored, or processed in jurisdictions outside Alberta and Canada, where the laws governing personal information may differ. We take reasonable steps to ensure that any such transfers are subject to appropriate contractual protections consistent with PIPA requirements.

8. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, subject to applicable legal requirements.

8.1 Enrollment and Operational Records

Records related to a child's enrollment, participation, health, and emergency contact information are retained for the duration of enrollment plus three (3) years, or until three (3) years after the participant reaches the age of majority (18 years old) in Alberta, whichever period is longer. This retention period reflects obligations under the Alberta Limitations Act and standards set by the Alberta Camping Association.

Example: A child who enrolls at age 9 and does not re-enroll after their first summer will have their records retained until at least the year they turn 21 (age 18 + 3 years).

8.2 Payment and Financial Records

Records of financial transactions, including enrollment fees and refunds, are retained for a minimum of seven (7) years in accordance with Canada Revenue Agency (CRA) requirements under the Income Tax Act.

8.3 Photo and Video Consent Records

Written consent forms authorizing the photography or video recording of a minor are retained for a minimum of three (3) years after the child reaches the age of majority (18 years old), consistent with Alberta's Limitations Act and ACA standards.

8.4 Marketing Consent Records

Records of consent to receive marketing communications are retained for the duration of the consent and for a minimum period thereafter sufficient to demonstrate compliance with CASL.

8.5 Requesting Early Deletion

You may request deletion of personal information before the expiry of the applicable retention period by contacting us at info@rizecamp.com. We will consider all such requests and will delete information where we are not legally required to retain it. We will advise you if a retention obligation prevents us from fulfilling a deletion request in whole or in part.

9. Your Rights Under PIPA

Alberta's Personal Information Protection Act gives individuals the following rights with respect to their personal information:

9.1 Right to Access

You have the right to request access to the personal information Rize Camp holds about you or your child. We will provide you with a description of the information we hold, the purposes for which it is being used, and any third parties to whom it has been disclosed, within 30 days of receiving a written request.

9.2 Right to Correct

If you believe that personal information we hold about you or your child is inaccurate, incomplete, or outdated, you have the right to request that we correct it. If we are unable to make the correction, we will note your request in the applicable record.

9.3 Right to Withdraw Consent

As described in Section 4.5, you may withdraw consent for any non-mandatory use of personal information at any time. Withdrawal does not affect prior lawful collection, use, or disclosure.

9.4 Right to Request Deletion

Subject to our legal retention obligations (see Section 8), you may request that we delete personal information we hold about you or your child. We will respond to all deletion requests within 30 days, advising you of what we can delete and explaining any obligations that prevent full deletion.

9.5 How to Exercise Your Rights

We may require you to verify your identity before processing any request. For requests relating to a child's information, we will verify that the requestor is the child's parent or legal guardian.

9.6 Response Timelines

We will acknowledge receipt of your request promptly and will provide a substantive response within 30 days of receiving it. If we require additional time, we will notify you and explain the reason for any extension, consistent with PIPA requirements.

9.7 Right to Complain

If you are not satisfied with our response to a privacy concern or request, you have the right to file a complaint with the Office of the Information and Privacy Commissioner of Alberta (OIPC):

10. Security of Personal Information

Rize Camp takes the security of personal information seriously and has implemented reasonable physical, administrative, and technical safeguards to protect it against unauthorized access, use, disclosure, modification, or destruction.

10.1 Physical Safeguards

Paper records containing personal information (such as printed registration forms and medical files) are stored in locked filing cabinets accessible only to authorized staff. Physical access to our administrative facilities is controlled.

10.2 Administrative Safeguards

Access to personal information is restricted to staff and volunteers with a legitimate need to access it for their role. All staff with access to personal information receive training on privacy obligations and the handling of sensitive information. Staff are subject to confidentiality obligations.

10.3 Technical Safeguards

Electronic records are stored on password-protected systems. Our website is operated through Wix, which uses industry-standard encryption (SSL/TLS) for data transmission. Access to administrative tools and records is protected by role-based access controls.

10.4 Breach Notification

In the event of a privacy breach that poses a real risk of significant harm to individuals, we will notify affected individuals and, where required by law, the Office of the Information and Privacy Commissioner of Alberta, without unreasonable delay. Notification will describe the nature of the breach, the information involved, steps we have taken to mitigate harm, and recommended steps for affected individuals to protect themselves.

11. Third-Party Services

11.1 Wix

Our website (rizecamp.com) is built and hosted on the Wix platform. Wix handles website hosting, online enrollment forms, booking functionality, and associated data processing. Wix processes personal information submitted through our website as a service provider on our behalf. You can review Wix's privacy practices at wix.com/about/privacy.

11.2 Payment Processors

Online payments for camp enrollment fees are processed by a third-party payment processor integrated with our Wix platform. Rize Camp does not receive, store, or have access to complete payment card details. The payment processor is independently responsible for securing financial data and complying with PCI-DSS standards.

11.3 Email Communications

We may use a third-party email service provider to send transactional and marketing communications. Any such provider processes email addresses and communication content in accordance with their own privacy policies and our instructions as data controller.

11.4 Independent Privacy Policies

Third-party service providers have their own privacy policies and data handling practices, which are independent of this Policy. We recommend that you review the privacy policies of any third-party platforms through which you interact with us. Rize Camp is not responsible for the privacy practices of third parties.

Our website, rizecamp.com, uses cookies and similar tracking technologies to improve website functionality, understand how visitors use our site, and deliver relevant content.

13. Marketing Communications

13.1 CASL Compliance

Rize Camp sends commercial electronic messages (such as promotional emails) only to individuals who have given their express consent to receive them, in compliance with Canada's Anti-Spam Legislation (CASL). Marketing consent is requested separately from enrollment consent and is entirely optional.

13.2 What We May Send

With your consent, we may send you information about:

  • Upcoming camp sessions and registration openings

  • Special programs, new activities, and camp news

  • Early-bird pricing and promotional offers

  • Updates from the Rize Camp team

13.3 How to Unsubscribe

You may withdraw your consent to receive marketing communications at any time, at no cost, by:

  • Clicking the "Unsubscribe" link included in every marketing email we send; or

  • Sending an email to info@rizecamp.com with the subject line "Unsubscribe."

We will process all unsubscribe requests promptly and within the timeframe required by CASL (no later than 10 business days). Unsubscribing from marketing communications will not affect your receipt of transactional or administrative communications related to your enrollment.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, applicable law, or operational requirements. When we make material changes, we will post the updated Policy on our website at rizecamp.com and update the "Last Updated" date at the top of this document.

We encourage you to review this Policy periodically. Your continued use of our website or enrollment in our programs following the posting of a revised Policy constitutes your acceptance of the updated terms to the extent permitted by PIPA. Where changes involve new purposes for processing or new categories of information that require consent, we will seek your renewed consent before proceeding.
